Modelling the Railways of South Australia Convention.

Last year we made the difficult decision to cancel our 2020 Convention because of the uncertainty of the Covid virus and restriction. While things have certainly changed this year, it is very difficult to predict what things will be like in September.

We have the usual venue booked and we are planning to hold our convention in our usual format.

OUR TWO PREFERRED OPTIONS ARE:

OPTION 1; If we are able to hold the convention without restricted numbers we will proceed as normal.

OPTION 2; If we are restricted in the numbers that can attend then we will allocate places in the order that registrations are received by post at our post office box. Those people who we are not able to allocate a place will still receive their full set of notes and be refunded the difference between their registration fee and the charge we make for and to post out notes.

The registration form will detail what presentations we are planning for this year’s convention. While these will be what we prepare for, the presentations and timetable could be changed if there are travel restrictions or other unforseen events.

We might have to charge a small levy of $5.00 per registration to cover additional measures to ensure we can comply with Covid regulations. One person of the organising group has been involved in ensuring these regulations are implemented at other events and will be organising our response. We will ensure that we have Covid Marshals qualified for the day, and are able to meet Government event guidelines.

At this stage catering arrangements will need to be investigated to ensure that we can supply a lunch in a quick and easy method. This might involve prepacked lunch boxes with a can of soft drink or bottled water. We will be adjusting our timetable to lengthen the time of morning tea and afternoon tea breaks. We will have to discuss lunch and tea breaks methods further with our caterers.

At this stage with so many unknowns we are hoping most people who attend will have had their Covid inoculations as many of the people attending are of the scratch building generation and not in the lucky generation of ready to run modellers. We would like attendees to bring face masks to be used if required.

Model Display

There may be uncertainty as to the holding of the models display as Covid restrictions may not permit models to be brought in for display. We will advise registrants in the follow-up letter what we are able to do closer to the convention.
There is likely to be a strict do-not-touch rule on displayed models, even for photography.


We will know more about any Covid restrictions closer to the actual day, but at this time we understand that the person who brings models to display will be the one to place them in the display area and pick them up at the end of the convention. We will include pre-printed display tickets in the follow-up letter.

The proposed important dates are:

Registration forms will be posted out:             15th June 2021.

Registrations close:                                          19th July 2021.

On the first of August we will have to confirm our print run and start printing the notes.  We will require notes orders to be placed within that time frame above so that we have an accurate number of sets requires. We will only print notes for definite registrations and orders.

We understand that these timeframes are narrow but we really need to be aware of what is happening around these times.

LAST RESORT POSITION:

If Covid restrictions are suddenly introduced and we have started printing the notes then we will supply everyone who has registered and who has ordered the notes with notes at the cost specified on the registration form plus postage and provide a refund cheque for the difference.

We understand that many of our interstate friends could have difficulty attending with uncertain travel restriction etc that could occur, but would be pleased to see as many that can come.

Registration forms are being posted out to everyone who has attended the convention in the last 5 years.

At this stage all letters should be in the post by Sunday.

Please note that if you will not be attending but want the printed notes, please order these as soon as possible so that we can ensure that we have enough printed notes sets.

As the situation regarding the Covid restrictions and lockdowns is changing quickly we will decide on the 20th of August if it is possible to hold this year’s convention as planned.

If we need to cancel the convention we will post details on the convention website and Facebook page and other social media sites on the 20th of August.

The Convention registration form advised that the closing date for registrations was the 19th of July. We are not able to accept further registrations. We are now finalising numbers registered and also finalising the printing arrangements with our printer. In the event that the convention is not able to be held, everyone will receive their notes and a partial refund as planned.

I would like to thank the presenters and our team for all of their hard work in their preparations so far and hope that we can still proceed as planned.

At this time the convention will go ahead as planned on Saturday 4th September.
Unfortunately due to Covid border restriction it is not anticipated that interstate guests will be able to attend.

Our usual confirmation letter will be posted out early next week. Late information regarding Covid plans have delayed our posting of the letters until probably Tuesday.

Unless there is changes to the current state restrictions the convention will go ahead as planned.

Fantastic news and fingers crossed B.1.617 SARS-CoV-2 doesn't sneak into South Australia for at least the next fortnight (or better still for ever, but that of course is unrealistic).

And a slight clarification.... fantastic news the Convention is on, but it's sad people from most other states won't be able to be attend.

One week to the 25th Modelling the Railways of South Australia Convention, so we are all hoping that this weeks sees no changes in restrictions.

WE WILL HAVE A SAMPLE OF THE SDS 900 DIESEL ON SHOW.

SDS has generously supplied a good selection of wagon packs as raffle prizes.

We also have at least four locomotives to raffle. so bring along some cash to support the convention.

The model display will also be held, so bring your new models to display.

Remember to bring your Covid Declaration form to sign and hand in as you register,

I agree.  It was another excellent day under what would have been very trying organisational circumstances.



Congratulations to everyone who was involved in putting it together and successfully overcoming the new and extra hurdles Covid created.



(And a thought bubble for whatever value it may be.  Without any knowledge or skills in this field, I couldn’t help wondering during the day, how difficult it would be to “live-stream” such an event.  It could be a means of allowing virtual “attendance” by interstate enthusiasts as well as providing a Plan B should the need arise in 2022.  And in any case, it might provide a means to increase the number of interstate, remote SA or even international “attendees/participants” even if the 2022 Convention went ahead as normal, without having to find a bigger venue.)

Thank you for all of the positive messages. After 2020 it was great to be able to have a convention at all. When you hear what is happening in other states we have alot to be thankful for.

Even with the current Covid restrictions the venue can accomodate more attendees, so that is not a problem. Also it is very hard to find a quality venue with all the facilities we require at an affordable cost. When we did look at venues in the past we would need to charge probably about $15.00 more per person to have all of the facilities we require.  This year a number of people indicated that they were not comfortable attending a reasonably large gathering; we understood that. Also border restrictions prevented a number of friends from attending. This year we posted out twice as many sets of convention notes compared to a normal year.

Morning tea, afternoon tea and lunch breaks had to be lengthened to ensure we were Covid compliant.

The border restrictions also meant that a number of interstate suppliers were not able to attend.

While live streaming and other virtual type ideas can be proposed our small group have to concentrate on what we have proved that people want and we can do. We have explored other ideas but with the type of presentations we currently do, there are other restrictions such as copyright that start to make life difficult.

At present there is a limit that our small group can do as well as have a family life and also enjoy our modelling. I would like to say how much I appreciated the effort that members of our group went to to organise our Covid plan and compliance so that the day could proceed. We were fortunate to have people who could arrange everything, otherwise we might never have been able to have the 2021 convention.

As was stated at the convention we would be pleased to welcome a few younger members to the group to carry on future conventions.

I would like to thank everyone in the group who helped organise this years convention and our presenters.

Anyway, back to work on the 2022 convention.
